A structured, low-risk solution to move data from a former employee's personal profile to a secure, dedicated business account — with OneDrive properly set up under a new account, nothing deleted, and no disruption to daily operations.
- The computer is still logged in under a former employee's personal Gmail account (raneem.a.haidar@gmail.com), meaning business data is tied to someone who no longer works there.
- OneDrive is syncing business files to that personal account with only 5 GB free storage — data could be lost, full, or inaccessible at any time.
- The local user "ranee" exists but lacks proper admin rights, leaving system changes and software installs unmanaged.
- No dedicated business profile exists — all data currently belongs to a personal account, creating a serious privacy and continuity risk.
- If the former employee's Gmail password changes or account is closed, access to all synced data could be permanently lost.
A new local Windows 11 user called Clinic will be created with proper admin rights. This will be the primary working account going forward.
Safe PracticeDocuments, Desktop files, Downloads, Pictures, and other relevant data will be copied (not cut) from the old profile to the new Clinic account — ensuring nothing is lost.
Non-DestructiveThe Clinic account will be the primary admin. The old "ranee" user will be reviewed and set as a standard or secondary user as appropriate — following Windows 11 Pro best practices.
Pro Best PracticeOneDrive will be fully unlinked from the former employee's personal Gmail. It will then be reconfigured and signed in under the new business/clinic account, ensuring all future files sync to the right place.
Included in Scope M365 License needed for 1 TBThe original profile tied to the former employee's Gmail will NOT be deleted. It will remain intact on the system as a safety net. Minx Aesthetics can request deletion later once satisfied that all required data has been fully migrated.
Zero Data Loss RiskWe will walk the client through the new setup, confirm all data is accessible, and document the login credentials for the new Clinic account before closing the job.
